Reconciliation Evidence

Reconciliation evidence is the structured documentation that records what was reconciled, how it was matched, what exceptions were found, and how decisions were made.

Full definition

Reconciliation evidence is the collection of documented records that supports a completed reconciliation — including which files were uploaded and reconciled, which matching rules were applied, each transaction's match status, exception types and investigation context, reviewer notes per exception, PowerBot-assisted investigation context where used, and resolution decisions with timestamps. This evidence is what auditors and compliance reviewers use to verify that a reconciliation was completed properly.

Why it matters

Strong reconciliation evidence answers the key audit question: how do you know this reconciliation was done correctly? Without structured evidence — built into the reconciliation workflow rather than assembled afterward — finance teams are left with matched spreadsheets and no record of what was checked or why.

Example

An auditor asks for the evidence supporting the Q3 bank reconciliation. The finance team exports the reconciliation summary from Certanexa — showing file upload dates, matching configuration, transaction-level match status, exception log with investigation notes, and reviewer sign-offs. The auditor can trace each decision through the evidence.

How Certanexa helps

Certanexa produces structured reconciliation evidence as part of the workflow — tracking files, matching approach, exception context, reviewer notes, and decisions — and exports this evidence in a format designed for audit and compliance review.

Safe boundary: Reconciliation evidence from Certanexa supports the review process. Finance teams and auditors retain responsibility for verifying the accuracy and completeness of reconciliation evidence.
